Registration fees

All presenters must register and pay by August 15, 2022.
An early bird registration fee is available for those who register and pay by August 15, 2022.

Note: As of July 1, 2022, all foreign participants need a visa to enter Japan for the participation in EcoBalance 2022. For those who participate from outside Japan, please refer the “Documents for visa application” section of this page.

Registration

Registration should be completed in the system on Whova. Please jump to the page from the following link and complete your registration Whova.

Note: For those who wish EcoBalance 2022 to issue the documents needed for visa application, please purchase ticket (at no cost) for the issuance of certificate documents for visa application as well as general registration tickets. Please refer to the details in the “Documents for visa application” section of this page.

Once registration is completed, your account on Whova will be automatically created. By using the account of Whova, online participation in EcoBalance 2022 is available.

Documents for visa application

For the visa application, the following documents are requested as of July 1, 2022.

《 Documents needing to be prepared by the entity that invites applicants to Japan 》

  • Certificate of the Entrants, Returnees Follow-up System (ERFS)

The organizing committee of EcoBalance 2022 welcomes to issue the above three documents that need to be prepared by the inviting entity.
For those who wish EcoBalance 2022 to issue the above three documents (letter of guarantee, invitation letter, certificate of health follow up system (ERFS)), please indicate your request by purchasing the ticket for the issuance of certificate documents for visa application (the ticket is available in the registration system for free).

When registrants wish EcoBalance 2022 to issue the documents needed for visa application, registrants are requested to submit the following documents for issuing certificate documents as well as the application form for the visa and itinerary in Japan.

  • Written pledge requested by the Japanese government: form
  • Written pledge requested by the Institute of Life Cycle Assessment, Japan (organizer of EcoBalance 2022) form
  • Application form for visa: form

  • Copy of passport

These are used by the secretariat of EcoBalance only for the purpose of issuing certificate documents for visa application. Once the secretariat of EcoBalance confirms the ticket for the issuance of certificate documents, they will contact registrants and request submission of the necessary documents.

Note The EcoBalance secretariat can only issue the necessary documents for your visa application to be prepared by the inviting entity. Please be sure to apply for the visa by yourself at a nearby Japanese embassy or consulate.
The issuance of the certificate documents for visa application will be only available until September 30, 2022.
The above documents required for the application of a visa are the ones for the general cases. Additional documents may be requested by the relevant authority.

Cancellation and changes policy

The EcoBalance 2022 secretariat must be informed of all cancellations and changes via an e-mail.

  • If proper notification regarding cancellations is received by the following due dates, the specified proportion of the total registration fee will be refunded.

    On or before August 29, 2022: 70% of the total registration fee

    On or before September 16, 2022: 50% of the total registration fee

    If proper notification regarding changes is received by the above due dates, the partial amount of the total registration fee will be refunded according to the above conditions and registrants need to process a new registration in the registration system. For any subsequent new registration, the fee at the time of the new registration will be applied.

  • No refund will be made for cancellations and changes made after September 17, 2022.
  • No refund will be made for non-attendance at the lunch, welcome reception, banquet, and networking drinks.
  • As of July 1, 2022, subject to change according to the COVID-19 situation and other difficulties, if registrants for onsite participation cannot enter Japan to attend the conference due to the restrictions of border control of Japan or registrants’ countries, the registration can be transferred to online participation. If proper notification regarding changes is received by November 2, 2022, 70% of the difference between onsite and online participation fees for the same participation type will be refunded.

All refunds will be made after the conference.
